The Registrar Office performs many tasks for the school on an everyday basis. A task that is performed is to receive and verify admissions with all new students. This is done to basically make sure all the incoming students have the documents that are necessary to be properly admitted into Rust.
Another service that is done is to modify a student’s record when properly asked to. What is being modified is the student’s permanent address, major, name corrections, etc. Some more services the Registrar Office performs are to certify students who receive Veteran benefits, Evaluate transfer credits, receive and process change of grade forms, evaluate and approve International students for admissions and issuance of I-20, capture and file various student grade forms, such as an I, F, or substitution of grade, retrieve and disseminate data on student enrollment, compile honor’s list (Dean, President, Honor Roll, and Honorable Mention), evaluate and certify students for graduation, produce, distribute, capture and enter grades, receive and process change of grade and withdrawal forms, issue letter of enrollment verification, issue either or unofficial transcripts or official transcripts, order degree for graduate, order regalia for Founder’s week and commencement, compile probation/dismissal list and notify students and administration, set the data system with data/dates. Along with these duties there are others that are assigned when they are needed.

One of the most important duties that are performed in the Registrar office is to receive the class schedule for academic divisions, build class schedule into the computer (Datatel) and make available to all interested parties. This is so important because this process basically makes the schedules for all the students that are available to be put into the classes. All of these services along with a few more are the total of what services that are rendered through the Registrar Office.
During the tenure of my internship the title that I was given was Office Assistant. On a daily basis I was asked to do many of the duties that have been stated earlier. One of the jobs that I did most often was filing documents for students that are either currently attending Rust College or have already graduated from Rust. These documents can be VA (Veterans Affairs) paper, change of address forms, change of grade forms, admission forms that have been completed, I-20 forms (international students), and check students schedules to see if they had an overload which is when the students are over the limit for the amount of hours they can take for the semester.
Another task that I did on the regular was work with Datatel. When working in Datatel I performed multiple tasks. One of the jobs was to process “Add/Drop” class forms and these forms are when students try to increase the number of classes they are currently taking or they are trying to remove a class from their schedule. The way this was performed was after I received the form with the classes that are suppose to be either added or dropped from the schedule I went into Datatel and properly added or dropped them from the class so they will not be charged or be penalized for being in the class. Another job was to change the advisors after having the proper paper work filled out and signed. I did this basically the same way that I changed the student’s grades, which is to go into Datatel and properly change the advisors. Just as Datatel was used to Add/Drop classes and change advisors, it was used for a many more jobs throughout the office.

At the beginning of my internship I feel that one of my difficulties that I came across was working with Datatel. The difficulty that I found working with Datatel was remembering the prefixes to access the certain parts of the program. For example, I would need to remember the prefix STAC among many other prefixes to access a specific part of the program. Although this was not exactly a major issue, it did slow my production down slightly but not by a lot. The reason why this slowed down my production is because I would need to ask one of my coworkers for the proper prefix that was needed and if nobody was available because they was busy with other work I would have to wait till they were available. This issue did not last long at all because after a few weeks I began to remember the prefixes that were needed at the right times.
To work in the Registrar Office there is not a lot of formal training needed. It would be preferred to have prior work experience in an office setting. Also to have worked with Datatel, EScript, or other programs to this affect would be very good informal training for a position in the Registrar office.
During my college years so far I have been taught so many principles or theories throughout my major. I think that I have become very solid in the majority of these principles. It is because of these principles that I was able to handle job assignments better. The reason why these principles made my job assignments easier is because I was able to adapt to working in Datatel quickly. I was able to adapt and learn Datatel because of my previous work dealing with programs like Visual Basics, C# and C++. These programs held a few similarities like Datatel, which made the transition a little easier for me.
