life cycle is the overall process of developing, implementing and retiring information systems through a multi-step process from preliminary investigation, System Analysis, system design, system construction, system implementation and system maintenance. 3. 1 Preliminary Investigation The researchers conducted an interview to gather information in system development of Mahardika Institute of Technology College. The researcher sent a letter to seek permission and an interview was conducted with the Employee assigned in the registrar’s office to know the background of the school. It’s existing and present problems.
The registrar had given the researcher appropriate information about their entering and Grades evaluation of system process. 3. 2 System Analysis In this phase, the researcher analyzed relevant information about the present system to be used in the development of the automated system. The researcher identified their transactions and how their existing system works. The office manual system of the registrar have much time to consume in evaluation the grades of the students grades records, the staff consumed much time looking for the needed information and sometimes the file holds are not accordingly by department.
The researcher suggested to the staff to have a new computerized system to make transaction faster and efficient. 3. 3 System Design The researcher created data flow diagrams showing the flow of information in the developed system. The flowchart served as the guide in designing the automated system and the hierarchical chart illustrated the menu-driven program. The function of the registrar division in the transaction such as: 1. Automatically save records of information’s to corporate data store. 2. Prevent the deletion of records without authorization.
3. Maintain a history of authorized system users. 3. 3. 1 Data Flow Diagram (DFD) Graphical representation of the flow of data through an information system, models its process aspects. Often they are preliminary step used to create an overview of the system which can later be elaborated. DFD’s can also be used for the visualization of data processing (Structured Design).
A DFD shows what kind of data are used to input and output from the system, where the data come from and go to, and where the data will be stored.

Figure 3. 3 is the Detailed Data Flow Diagram of the proposed system for the MIT registrar’s office. Personnel from the office of the registrar will do the grades entry and evaluate the grades of the students from the student’s record 3. 3. 2 FLOWCHART A Flowchart is a graphical or symbolic representation of a process. Each step in the process is represented by different symbols and contains a short description of the process. The system has four menus, the first year button, the second year button, third year button, and fourth year button. Each menu has its own sub-command that will be used in operating the system. 3. 5 System Construction In this phase, the diagram created during the planning phase was followed. The program was developed using the high-level programming language Visual Basic 6. 0 with the help of the flowcharts.
After the software was designed, it was tested by selected individuals. Sample data were fed into the system. The computerized system was evaluated to see whether the need of the MIT Automated Grades Entry and Evaluation System was met. The system will be fully discussed in the next chapter. 3. 6 System Implementation When the system was fully tested and approved by the management, then it is ready to be implemented. In this phase, the existing manual system will be replaced by the new and computerized system. But before the system is implemented, system users should be trained to use the system.
The MIT registrar office can hire a computer literate person. 3. 7 System Maintenance When the system is successfully implemented, system maintenance will follow. At this phase, the system is thoroughly examined and evaluated for further modification or enhancement. Also within this phase, the system must be updated from time to time to cope up with some changes as the need arises. CHAPTER IV THE SYSTEM Based on the study results, the researchers aimed to develop the system software entitled “Automated Grades Entry and Evaluation System for MIT registrar’s office that handles the grades of the students.
The interface and capabilities of the system are discussed in this chapter. 4. 1 The System Login Figure 4. 1 shows the log in screen of the system. When the user executed the program, this window will first appear to provide security for the system. The main window and the other features of the system cannot be accessed when the user cannot provide a valid username and password. These chapters discuss the summary, conclusion and recommendation of the “Computerized Grades Management System of Mahardika Institute of Technology College”. Summary and Conclusion This study is designed and developed a Computerized Grades Management System for Mahardika Institute of Technology, Inc. Ilmoh Street, Bongao, Tawi-Tawi. The researcher followed six phases of the system development life cycle in designing and developing the system. The flow of the transaction of the current manual system was carefully observed. All forms in the office were carefully analyzed and charts, hierarchical chart for the system, were employed.
Microsoft Visual Studio Visual Basic 6. 0 was used as the front-end of the system. The Microsoft Access 2010 was use for data storage. The system is capable of entering grades of the student, and evaluates student grades anytime, and speed up the time of transactions. 5. 3 Recommendation Based on the conclusions made, the following recommendations were provided by the researchers: To the students of Mahardika Institute of Technology, Inc. used of Computerized Grades Management System for the students, helps to evaluate grades by using the system.
With the help of Computerized, the students are convenient of evaluating their grades. To the Instructors of Mahardika Institute of Technology, Inc. use of Computerized Grades Management System may gain portable for them by the use of computers and can enter and correct grades anytime. To the registrar of Mahardika Institute of Technology, Inc. can gain less effort of entering and modifying the grades of the student. To the future developers- they can use this research system as a guide for them and could enhance more from their future thesis.
