INF 630 – Systems Analysis
In my workplace as a Veteran’s Affairs (VA) contractor, we are currently experiencing major issues with the migration of email. It has become necessary to ensure that we are carefully following the right measures before email migration takes place or all of our emails become lost. Nevertheless, no emails are able to be sent or received at the moment because of the migration not being finished. A reason that email migration takes place in the first place is that our company’s email is ran by Google G-mail but a lot of employees are having to use it in conjunction with Microsoft Outlook.
The nature of the information system that I have selected is both External and internal system users. Both are being addressed due to the fact that I have had some experience with both of them. The business’ employees for whom the majority of information systems are created are internal system users. For most businesses, these are the users that are the biggest ratio of users of information systems. The internal system users consist of managers (both executive and middle), service/clerical, and technical staff. “Clerical and service workers perform most of the day-to-day transaction processing in the average business (Bentley & Whitten, 2008, p. 9).” The clerical/service workers create the fundamental data as a function of their data processing as well as perform other job duties. “Technical and professional staff that consist of a largely of the business and industrial specialists who perform highly skilled and specialized work. Supervisors, middle managers, and executive managers are the decision makers whom tend to focus on day-to-day problem solving and decision making. The middle managers focus on the tactical operational problems and decision making. Executive managers handle the strategic planning and decision making (Bentley & Whitten, 2008, p. 9).”

Our internal system users are the contracted employees and this is due to the fact that they are the workers who enter data into our SharePoint systems as well as other systems such as Deltek and the Case Management System. All of this data that is entered is reviewed by the designated supervisors. Our IT department workers deal with any issues with any of the systems or computers that the contractors may have. An example of this could be when our clerical/service workers need to share data from any of our systems with the IT department or colleagues from another office location; they would enter their data into the respective system in order to make it visible to whoever needs to view it.
Along with the internal system users I have also chosen to address external system users as well due to the fact that these consist of customers, employees, suppliers, partners, etc. In this case I am considered mostly an employee but also somewhat of a customer. With today’s modern information systems, external system users make up a great ratio of the system users. External system users consist of customers or organizations that buy services and products. “Suppliers are any organizations form which companies may purchase supplies and raw materials (Bentley & Whitten, 2008, p. 9).” The companies that we purchase our business’ supplies from are the partners. The employees are those that we work for, which in this case, consists mostly of veterans and military service members.

Our information systems are owned and maintained by the Department of Veteran’s Affairs. The VA has hired contractors such as me to perform the needed functions such as serving as customer support representatives for their information system, use IT to maintain the systems, etc. Any of the jobs that take place are tracked by being entered into the information systems.
Identify Baseline Problems and Opportunities
It is completely necessary to identify the baseline problems and opportunities by knowing a project’s scope. This area of business is something that a business’ project could address but also possibly could not. A project’s scope is also useful for establishing the problems’ baselines, opportunities, and any directives that could have possibly prompted the project in the first place. Our company is currently working getting our emails migrated to the other email accounts and there have been some extra measures to perform before the migration takes place. Our contract’s supervisors have been adamant about taking these measures so that it is less likely to encounter additional problems. At the same time, part of the migration has already been completed by a portion of the employees. The problem this creates is a lack of strong communication between us and the employees who have already made the transition because emails are not all being successfully received and/or delivered. For us to identify this issue our IT department has had to go through every employee’s email accounts to ensure that the right accounts were being used. After this, we have to figure out why emails are not being received even though migration on our end has not occurred just yet. Before the final migration actually occurs, the majority of our computers will need to be shut down so that final updates and patches are applied so that the emails are properly migrated over. This as a whole will help to ensure that our systems are efficiently updated.
