Positive emphasis leads to better communication, boosts self esteem and confidence. Its all about having positive thoughts and positive approach that leads to positive production. (Allan 2009).
There are several techniques that can help achieve this. Organizing positive messages and positive replies This is a technique that uses the direct approach in writing the main idea. The main idea is written in a clear and concise manner while the necessary details are written to satisfy the readers information needs in a positive tone. When responding to any communication, a positive impression should be maintained.
A careful consideration before making any reply should be made (Angie 1998).
Favorable response to claims and adjustment request The company needs to be alert on issues of claims by customers. The aim of having a favorable response and adjustments of claims is to repair and restore the companys image, and to maintain the customers good will. There should be a significant flexibility in the adjustment of request by giving assurance to customers needs (Angie 1998).
Handling routine credit request and goodwill messages Credit request are categorized into two positive responses: credit approvals and credit references. Credit approvals initiate a good interpersonal relationship between the customer and the business. The aim of this is to inform the customer as well as maintaining the goodwill through goodwill messages. Direct approach should be used in conveying the good news to the consumer.
(Angie 1998) Conclusion Emphasizing the positive is important to any business. If a business gives a negative impression to its customers, it may not thrive for long. Customers desire positive messages – especially routine messages related to good will. Positive emphasis is used by companies to advertise their business. They should strive to maintain this image in order to gain and maintain customers trust in them (Exforsys, 2009).
